What to do if I have made a mistake?

The answer

The wrong class, a digit swapped in the microchip number, the wrong dog selected… An entry mistake can happen.

The right reflex: pinpoint the mistake exactly and report it quickly. What you need to do depends on what has to be corrected and on the show’s deadlines.

This guide covers shows in France. The online procedures described here are those of SCC Expo (the entry service of the French Société Centrale Canine).

1. Identify what needs to change

Open your summary and compare it with the dog’s documents.

Tell apart:

  • a data error: name, identification, birth or contact details;
  • a change of class;
  • a change of variety;
  • a change of dog.

This will help the service understand your request without several exchanges.

Simply note: “Information recorded” and then “Correct information”.

2. Check the deadlines before acting

Look up the amendment deadline announced by the organiser. Do not assume that every correction remains possible up to the day of the show.

For an FCI international show, transferring from one class to another after the closing date is forbidden, except in the case of an administrative error by the organising committee.

So this exception does not automatically cover a wrong class chosen by the exhibitor.

Example: you selected “open”, but finally want “intermediate”. If the closing date has passed, simply changing your mind does not qualify for the exception.

3. Follow the right procedure on SCC Expo

The Société Centrale Canine (SCC, France) distinguishes the following situations:

ChangeProcedure indicated
Class, at the same fee“Mon compte” → “Engagements terminés” → “Modifier”.
VarietyEnter the dog again, then write to sccexpo.contact@centrale-canine.fr.
DogWrite to the same service, stating which dog is to be withdrawn and the name, identification and class of the replacement.

These procedures remain subject to the applicable rules and deadlines. For a change of class at a different fee or a correction not covered by this list, ask the service what to do.

For a variety, the official procedure does provide for a new entry followed by an email. Check with the service how the original entry and the amounts paid are handled; do not assume an automatic refund.

4. Send a request that is easy to process

For a mistake in a name, birth date, identification or contact details, contact the entry service or the show secretary.

Prepare:

  • the name and date of the event;
  • the entry reference, if available;
  • the dog’s official name and identification;
  • the incorrect information and its correction;
  • a copy of the relevant supporting document.

Keep the message short and precise. For example: “The date of birth recorded is 12 June; the birth certificate says 21 June.”

Keep your request and the reply you receive.

5. Check that the correction has been taken into account

After an online change, re-read the summary. After a request to the service, look for written confirmation or an updated document.

Sending a request does not mean it has been accepted. If the event is getting close and you have no reply, follow up with your reference and the first exchange.

If the mistake appears only in the organiser’s documents, attach your original entry: it will make it possible to compare the information.

6. What if the change is no longer possible?

Ask which solutions are still allowed in your situation. Do not replace the entered dog on your own initiative, and do not show in a different class without agreement.

If you are considering a cancellation, check the refund conditions. On SCC Expo, the Société Centrale Canine (SCC, France) states that the request follows the terms set out in the show’s own regulations.

Beginner — three tips

  1. Act as soon as you spot the mistake. Waiting reduces the time available to sort it out.
  2. Rely on official documents. They let you show clearly what the right information is.
  3. Keep the confirmation of the correction. File it with your receipt.

Intermediate — three tips

  1. Tell a correction from a change of choice. Fixing a number is not the same question as changing class.
  2. State the old and the new details. Your request will be easier to understand.
  3. Re-read the whole updated entry. Check that the dog, the class and the options still match your request.

Advanced — three tips

  1. Archive the original summary. It helps to tell an input error from a transcription error.
  2. Check the financial consequences before any new operation. A different fee, a new entry and a refund may need special handling.
  3. Check each dog separately. If you have several entries, state precisely which one is concerned.
